What type of information we have?

Telephone Calls

All external incoming calls and all external outgoing calls may be recorded for training and monitoring purposes. These recordings are kept securely for a period of 12 months (from date of call) and are kept offsite by our cloud provider. 

When taking customer financial information over the telephone, the external caller will be advised that recording is being stopped whilst the information is taken. Thereafter the external caller will be advised that the recording is being restarted. Additionally, we reserve the right to stop recording if we deem the information received from the caller to be outside of our business requirements. The caller will be notified should that be the case.


Your pictures

Clients may send Protex Fasteners Ltd pictures of our products, which may include individuals within the image. Our clients are responsible for obtaining consent from these individual(s)/ owner(s) concerned before sending those pictures to us. Protex Fasteners Ltd will then store and present these on to a secure website. If you need to have your images removed, please contact us directly.

If Protex Fasteners Ltd are carrying out an investigation, then a request for your Photo ID maybe required to confirm your identity. 


How we get the information and why we have it?

All information is provided directly from our client as they will be expecting Protex Fasteners Ltd to deliver a reliable service.

Protex Fasteners Ltd receives information via Website, email and via telephone enquiries as our client(s) are looking for a specific latch or any other steel fastening device. All of our clients are aware that we cannot deliver the service without the information.

Payments received for our products are through Sage Pay/ Opayo whereby your card details will be processed through their encrypted system. Sage Pay/ Opayo do not share your details with Protex Fasteners Ltd, but they do provide an acknowledgement that payment has been made.

Protex Fasteners Ltd will inform you as to when your order will be ready for collection or delivery.

Protex Fasteners Ltd applies to the “legitimate interests in practice” as it allows the company to consider the following.

  • The reasons why the company requires the information
  • What the company needs to achieve with the information
  • The benefits to the client(s) by the company having the information

All information is held in a secure manner on security-tested systems and storage in the United Kingdom and Europe. All transfers of information outside the European Economic Area (EEA) will be authorised by the client.


How Long We Keep It For

Having reviewed the information, we require; we keep it in our systems for no longer than absolutely necessary and regularly destroy or anonymise it according to our UK GDPR Policy.
